Definitions

We (us, our): Refers to Octopussian (78 Avenue des Champs-Élysées, Paris, France), the software publisher.

Application: refers to the software accessible via the Internet: app.octopussian.com . This Application is offered in SAAS mode (Software as a Service).

Client: the organisation (company, association, or any other legal entity) whose Users make use of the software;

Account : Entity representing the Client in the software. The account is the entity to which the Users, documents and Data used by them are attached.

User: refers to the person under the Client's responsibility (employee, representative, etc.) who has access to the Application on their computer under the user licence contracted by the Client.

Chrome extension "Octopussian Password Manager"

Our Chrome extension allows users to automatically fill in their web login forms using the passwords stored in their Octopussian account.

Data used by the extension

The extension does not collect any new personal data. It only uses:

Types of personal data

We store personal data in two different contexts:

1 - Our users' contact
details 2 - Contact details stored on behalf of our customers

This contact information may include gender, surname, first name, telephone number, email address and postal address.

Role of Octopussian

Octopussian acts as a processor within the meaning of the GDPR for the contact details that our clients store in the Application.

Responsibility of the Customer

The Customer is the data controller for this data. It is the Customer's sole responsibility to:

Purpose

This contact information is stored in the Application solely to enable the sharing of contact information within the Customer's organisation. It is not a CRM or sales management system.

Access and control

Only the Customer and the Users authorised by them have access to this contact information. Octopussian does not use, exploit, or consult this data outside of the technical operations necessary for the functioning of the Application.

Retention

This data is retained for as long as the Customer maintains an active account. It is deleted 30 days after the account is permanently closed, in accordance with the retention period for user account data.

Data concerned

Gender, surname, first name, telephone number, email address, profile photo (avatar), usage preferences, etc.

The profile photo is optional and freely chosen by the user.

Purpose

This data is used exclusively for:

In the context of collaborative work by a group of users belonging to the same workspace, the contact details of each user are visible to all collaborators.
They can be modified by the user themselves.

Outside of this context, this data is confidential.

It is not sold or transferred to third parties.

Storage and protection

This data is stored in encrypted form (AES) in our database hosted by OVH.

Retention period

Users' contact details are retained for as long as their account is active.

They are deleted 30 days after the final closure of their account.

1b - Billing data

This data is stored in our database to enable invoices to be issued and is transmitted to our subcontractor Stripe for payment processing.

Retention period

10 years from the end of the financial year , in accordance with French legal accounting and tax obligations.

This billing data is stored separately from user account data and is not deleted when the account is closed.

We do not carry out any commercial or marketing processing.

In accordance with our Terms and Conditions of Use, users undertake to comply with the GDPR and the law in general.

The Customer guarantees that they have obtained the consent of the persons whose data they store for LEGITIMATE USE as specified in our Terms and Conditions of Use: octopussian.com/terms

The personal data stored by the Customer in the Application is stored under their responsibility.

This data is and remains the property of the Customer.

We do not use or exploit it in any way other than that provided for by the use of the Application that we make available to the Customer.

The app.octopussian.com website uses one cookie:

octo Temporary alphanumeric identifier composed of a random sequence. This identifier is associated with the user when they log in and is deleted when they log out.
It allows us to serve data corresponding to their account and privileges.
